The opportunity:

  • Manager, Scanning & Intake has oversight of all team members and functions within Intake & Digital Services to ensure client expectations and contractual obligations are met. This position, located in the Milwaukee office, has direct oversight of staff and vendor relationships in 5 current client states (WI, MA, TX, SC & FL).
  • How you will contribute:
  • Create and maintain production records that are created manually for 2 of the 3 groups within Intake & Digital Services area.
  • Protection of PHI is required and carefully managed due to the volumes of paper documents processed and retained in the department.
  • Using technical components of all the software utilization including Kofax, P&R Imaging and Shapegrabber creates digital images of multiple types of documents is a daily process in this area. Pitney Bowes mailing equipment will also be utilized.
  • Develop and maintain staff speed and accuracy measurements for the Intake & Digital Services group enterprise wide to ensure all client contractual and compliant requirements are met as well as department production standards.
  • Ensure departmental goals are met by maintaining spreadsheets, databases, utilizing system reports and tools, monitoring inventory levels and turnaround times for all related tasks and jobs within the department.
  • The data is used to provide each team member a monthly report to reflect their production in terms of both quality and quantity.
  • Provide work direction, development and growth plans for staff members by acting as a coach/mentor in the areas of production, quality, and organizational skills and assuring that staff members adhere to published department standards and quality procedures.
  • Serve as a liaison to represent the Intake group between internal departments.
  • Enhance organizational efficiency by leading as a project manager and/or participating in cross-functional projects and provide necessary feedback to appropriate parties as needed.
  • Development and maintenance of all procedural documents for each function as well as updating of the Intake SharePoint site.
  • Maintain vendor relationships by working with existing vendors for quality improvements and specific production or claim issue when necessary.
  • Provide aid to management and various teams by developing and delivering quality presentations and information to various management and/or teams as appropriate.
  • Implementation and supervision of ongoing training programs for all new and existing team members in the department.
  • Complete annual performance appraisal for each team member.
  • Assist in the hiring process, including interviewing candidates.
  • Assist in the preparation of performance and wage evaluations in accordance to company policy.
  • Track attendance and approving paid time off requests for team members.
  • Always Represent the company in a professional manner.
  • Other duties as needed or required.


What you will bring with you:

  • College degree (Associates or Bachelors) and 2 years’ experience in related business environment.
  • 2 years’ experience in a lead, supervisory or management capacity.
  • Attends additional training as requested/deemed necessary.
  • Self-motivated, and the ability to work with little supervision.
  • Strong problem-solving skills and the ability to make judgements.
  • Proficient in the use of MS Excel and MS Word.
  • Excellent communications skills: interpersonal, written and verbal.
  • Attention to detail, accuracy and organizational skills is essential.
  • Ability to prioritize and organize multiple tasks.
  • Ability to interface well with personnel at all levels.
  • Ability to impart knowledge to others.
